Terms of Service

The conditions for using CredVaultMD to organize and share professional records.

Effective October 21, 2026

1. Using CredVaultMD

These terms govern your use of CredVaultMD at credvaultmd.com. By using the service, you agree to these terms. If you do not agree, do not use it. Questions can be sent to support@credvaultmd.com. You must be at least 18 and authorized to use the records you provide. If you act for an organization, you must have authority to do so.

Access is currently invitation-only. Public registry lookup does not create an account, reserve an identity, or bypass sign-in. Examples, sample records, proposed prices and preview features are illustrative and are not an offer of a working integration, free trial, payment or reward.

2. Your account and records

Provide accurate information, protect your credentials, complete required authentication, and tell us if you suspect unauthorized access. Do not share accounts or impersonate another professional. A public NPI record may be imported only into a profile you are authorized to manage; importing it does not verify ownership.

You retain your rights in the records you submit. You authorize us and our service providers to host, process, display and transmit those records as needed to deliver the functions you request. This permission does not transfer ownership to CredVaultMD or authorize us to sell your private documents.

3. Professional responsibility

CredVaultMD is an organization tool, not a licensing board, credentialing authority, employer, legal adviser or clinical decision system. Uploading, scanning or matching a registry record does not establish licensure, board certification, competency, employment eligibility, CME acceptance or audit readiness.

You are responsible for confirming requirements, deadlines, credential status and the accuracy of submissions with the relevant board, certifier, employer or institution. Review OCR and AI suggestions; do not add experience, qualifications or metrics you cannot substantiate. Keep your own copies of important records and do not rely solely on a reminder or calculated score.

4. Acceptable use

Use the service only for legitimate professional purposes. Do not upload patient information, unlawful material, malicious files, stolen records or information you are not authorized to share. Do not falsify credentials, misuse another person's identity, harass users, scrape private records, bypass access controls, overload the service or attempt unauthorized access.

The public NPI lookup is provided for individual profile setup, not bulk harvesting. Recruiters and credentialers must use records only for the purpose authorized by the professional and comply with applicable employment, privacy and record-handling laws. Contact access is not permission to sell or redistribute a person's records.

5. Sharing and outside services

You choose which documents to share and with whom. Anyone holding a valid packet link may be able to access its contents. Revocation and expiration do not retrieve copies already downloaded. Recipients must protect those copies and use them only for authorized purposes.

Third-party courses, job postings, payments and integrations have their own terms. We do not guarantee an outside provider's availability, accuracy, credit acceptance, pricing, hiring decision or performance. Paid placements and affiliate relationships will be identified where applicable. An NPI listing is not an endorsement by CMS or an affiliation with the federal government.

6. Pricing, cancellation and refunds

Public plan checkout and live paid transactions are not currently open. Displayed test amounts and proposed plan prices do not create a charge. Before a paid service is activated, the checkout or agreement must state the price, currency, billing interval, renewal terms and any applicable cancellation or refund conditions.

Do not submit payment credentials through ordinary email or uploads. For billing questions or a cancellation/refund request relating to a payment, contact support@credvaultmd.com. Mandatory rights under applicable law remain in effect. Third-party course purchases are subject to the seller's payment and refund terms.

7. Availability, suspension and closing an account

Features may change, be unavailable, or depend on configured providers. We may limit or suspend access to investigate misuse, protect the service or comply with law. Where appropriate, we will provide notice and an opportunity to address the issue. You can stop using the service and request account closure through support.

Download records you need before closing your account. Deletion, retained security records and recipient copies are described in the Privacy Policy. Closing an account does not cancel an unrelated third-party subscription.

8. Disclaimers and legal rights

To the extent permitted by applicable law, the service is provided as available, without a guarantee of uninterrupted or error-free operation, a particular credentialing result, employment, or fitness for a particular purpose. No information on the site guarantees regulatory compliance.

Nothing in these terms excludes liability or removes a consumer right that cannot lawfully be excluded. These terms do not impose mandatory arbitration or a class-action waiver. Contact support@credvaultmd.com so we can try to resolve concerns directly. Applicable law continues to govern any unresolved dispute.

9. Updates

The effective date appears above. We may revise these terms as the service changes and will give notice of material changes through the site or account channels as appropriate. New paid or optional services may require separate agreement. If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law.
